What's that File? - PPS

You could say that I'm a bit of a connoisseur when it comes to e-mail. I get literally hundreds, sometimes thousands of e-mails per day depending on the scenario, so I've seen all kinds of attachments, subjects and the like.

One attachment in particular has always put me off, though. The PPS file.

What is this file, anyways?

A PPS file is actually a Microsoft PowerPoint presentation or slideshow. Just like slideshows past, it is nothing more than a series of pictures, only a PPS is conveniently packaged into one file for easy viewing. Problem is: What if I don't have MS PowerPoint on my computer?

Rest easy, you can download a PowerPoint viewer here, which will allow you to look at PPS files,without actually owning the software!

As always, make sure that you've got all of your virus definitions up to date and you scan everything that comes down the pipeline to your inbox. It's always better to be safe than sorry!

Computers 101

Q:
I have one of those USB "thumb drives" and when I plug it in Windows assigns a drive letter. Is there a way I can give it a name instead?

A:
USB "thumb drives" are becoming more popular (and more affordable). Some are the size of your finger and can hold the same amount of data as a DVD or even more!

Each time you plug it in, your PC assigns a drive letter automatically—but what if you want it to have a name?

If you have Windows XP, just double click "My Computer", right-click the drive letter and select "Properties".

If you use Vista, go to Start>Computer, right-click on the drive letter the corresponds to your thumb drive and select "Properties".

Type in the new name then click OK.

This can also be done with USB card readers. Especially with the kind that read several different types of card. You can label each drive according to card type: SM (Smart Media), CF (Compact Flash), etc. When you put your media card in, the name will come up so you know which drive letter has the card in it.

Q:
I downloaded a bunch of icons, but how do I change them for folders or shortcuts on my desktop?

A:
There's not a whole lot to it.

Just Right Click the folder or shortcut you want to change and choose Properties.

Now choose the Customize tab for a folder and select the Change Icon button.

For a shortcut click the Shortcuts tab then select the Change Icon button.

A window will appear showing a lot of different icons to choose from. The standard icons are in your System32\SHELL32.dll folder, but you can have icons in other folders, especially if you downloaded some...

Just click Browse and navigate to the other folder that you put the icons in.

Find one you like, select it and choose OK.

Click OK again to finalize the change.

MS Office

Excel Has Equal Sign Issues?

Well, sort of…

I'd say that Excel has an issue when you're actually trying to type an equal sign into a cell without starting a formula - in other words you need to treat the equal sign like text instead of a formula starter.

(I found that my Excel 2007 would let me create a cell with just an = with no problems but the moment I added any text after it I got the whole "#Name?" routine.)

Since I just mentioned treating it like "text" you may have already decided to just change the cell format to text.

Good idea!

And yet… that means wasted time while we move over to use the mouse and go in search of the cell formatting choices. That's a lot of work to change the formatting of a single cell.

I have a better idea - put an apostrophe in front of it. Like this:

'=

I hear you - you wanted an equal sign in the cell, not an apostrophe!

Don't worry; all the apostrophe does is change the cell formatting to text without all the other hassles.

With this little trick you can use the equal sign without any extra frustration anytime you please.

Analyzing Filtered Data With Charts

So, you like to use MS Excel's AutoFilter to take a look at your data?

Ever find yourself thinking that it would be nice to see the filtered data as a graphic?

Did you try it?

Yes, you can create a chart of the filtered data to truly "see" what the data has to show you.

But, did you know that the single chart you created can be used over and over again for analysis?

That's right! When you get ready to change the filter, don't even think about deleting that chart.

Simply leave the chart open and keep your eye on it as you adjust your filter.

No, your eyes are not deceiving you - as you changed the filter, the chart changed too.

Disk Imaging software is normally expensive too - we're talking $80 or so - and one of the best imaging programs I've run across is actually included with this program! Even if you don't think you're gonna need the recovery software, the disk image software included with this makes it a must-have!

Here's the deal. You open up My Computer and start browsing for a particular file or folder. About five minutes into it, you realize you would have been better off doing this with Windows Explorer. What to do? Is it time to start over? Is all hope lost? Am I being too dramatic?

Anyhow, when faced with the situation above, most of us would close My Computer, open Explorer, and then hunt around for the file again.

Instead, right-click the file or folder you're working with in My Computer and select Explore . Windows Explorer opens up with focus on that area.

Snap To

Do you feel like you often use your mouse too much? Now, don't get me wrong. I'm not trying to push keyboard shortcuts on anybody, because I know those can be hard to learn and remember. I'm talking about all the times you use your mouse for the most common tasks on your computer. For example, any time you change a setting on your PC, you have to press OK for it to take effect, right? Isn't it a little repetitive to have to press that button every single time? How would you like your mouse to automatically do it for you?

Well, it's possible and here's how. You just have to enable the "snap to" feature for your mouse. Go to Start>Control Panel and click on the Printers and Other Hardware link, or, If you're using Windows Vista, go to Start>Control Panel>Mouse.

Choose the Mouse link and then click on the Pointer Options tab. The second choice there is Snap To. Checkmark that box and click OK.

So, from now on, your mouse pointer will automatically move to the default button in any dialogue box. Every time you're doing something on your computer, the mouse pointer will take care of the finishing touches for you and you won't have to worry about moving your hand back over to your mouse. This feature helps to eliminate wrist injuries, such as carpal tunnel, because you don't have to use your mouse quite so much. Who can argue with that?!

Now, go and snap to it!

I find the art of papercraft amazing. So when I found this site I couldn’t wait to share it with all of you. Here you can check out marvelous papercraft, but more importantly you can download the patterns for free to try making them yourself.

Navigation of the site is blog style. Just scroll down the page and see the wonders in paper to explore. When you get to the bottom click either the >> button or the next page number, or you can browse them by categories by using the menu on the right side of the page.

The categories are: Animal, Building, Cartoon, Cute, Electronic, Fantasy, Food, Games, Japan, Military, Miscellaneous, Natural, Origami, Paper Boxes, Uncategorized, and Vehicle. That just goes to show the incredible diversity of projects on this site!

If you’ve found one you want to try out yourself, you’ll be looking for the link following the description of the project. It will be something like Get it Here, or Download Here, or even just Source.

If you don’t want to try your hand at these papercrafts, you’ll still be wowed by the gigantic range of things people have made out of paper and how realistic they are. My favorite papercraft from this site was of the Le Sagrada Familia which is a cathedral in Spain. It was exquisitely captured in paper and you can see it here on the site!

Learn About the Types of Disasters

I want to say one thing before I dive into my review of this site; while it is set in the United States (it’s maintained by FEMA) there is a lot of information here that is useful world wide.

There are seventeen different types of disasters and this page is devoted to teaching you all about them. A few of them of them didn’t even occur to me so I was very happy to learn about them. The disasters are: Chemical Emergencies, Dam Failure, Earthquake, Fire, Flood, Hazardous Material, Heat, Hurricane, Landslide, Nuclear Power Plant Emergency, Terrorism, Thunderstorm, Tornado, Tsunami, Volcano, Wild Fire, and Winter Storm.

I’m going to go over a few of these categories with you:

Chemical Emergencies – this is probably one of the most important to learn about because you probably have several hazardous chemicals in your house right now. Here you’ll find a list of household items that can be hazardous, as well as, how to deal with a chemical emergency if one should occur.

Dam Failure – Did you know there are more than 80,000 dams in United States? I know I sure didn’t. So the possibility of having to go through a dam failure emergency is more wide spread then you would think.

Earthquake – now this is one I expected to see on the list. If you live in an area prone to earthquakes make sure you check this section to make sure you are knowledgeable and prepared if there was an earthquake where you live.

Fire – this one was another no brainer for the list. A fire could happen anywhere, to anyone, at any time. I think this section is a must read for everyone – be prepared, know what to do if you’re faced with fire, and it might just save your life.

Flood – I think this is one of those disasters that most people don’t think about, but honestly a flood could happen just about anywhere if it rained enough, or if a dam broke. Here you will learn flood terminology, what you can do during a flood, and what you can do after a flood. There is also a great link to a flood risk map that shows the entire United States, and what the risk of flood is there at the moment.

Hazardous Material – this ties into the chemical emergency section but on a larger scale. In this section think about factories producing chemicals, chemicals that are being shipped via the highway, or mail, and what disaster could occur if something went wrong.

Heat – this is another one that we don’t give much thought to, but heat can definitely kill you. Especially now that we’re in the summer months here, this section is definitely one that you need to check out. You can learn about treatments for heat induced ailments, as well as, what constitutes a heat emergency.

Hurricane – I think hurricanes are probably one of the natural disasters that a lot of people are prepared for, but what if you’ve just moved to a hurricane prone city or want to teach your kids about hurricane safety. Check out this section to learn about hurricane terminology, links to storm weather reports, and what the different categories assigned to hurricanes mean.

Landslide – another disaster that we don’t think about much, but could happen anywhere. There are many different causes of landslides that you’ll learn about here.

Nuclear Power Plant Emergency – living near several power plants, has definitely made me aware of the possibility of something going wrong there. If you live near a nuclear power plant you should check this section out as it has some great tips for limiting your exposure to radiation should something go wrong.

As you can see, you’ll find a lot of universal need to know information about disasters that could happen anywhere. Check this site out today!
